YOUR ROLE

Scope: France, Italy, Austria and support to other EU + UK entities.
Population: 140-150 employees

You aren’t just "managing processes"; you are creating the seamless experience that allows every employee to focus on their growth. You love the beauty of a perfect process, the clarity of a well-structured compensation policy, and the peace of mind that comes with surgical legal rigor. You will be the go-to expert ensuring our "engine" runs brilliantly as we scale across Europe.

Management: You will directly manage our People & Culture Manager based in Austria, supporting her in local operations and ensuring global alignment. You report directly to the VP People.

Below is a detailed overview of the role’s responsibilities:

1. Operational Excellence & Team Management

• Leadership: Manage and mentor the People & Culture Manager (Austria), providing technical guidance on payroll, benefits, and local compliance while ensuring they are aligned with Kolsquare’s global People strategy.

• Global Coordination: Act as the central point of contact for HR operations across Europe ensuring a consistent employee experience regardless of location.

2. Payroll, Compliance & Social Dialogue

• Payroll Ownership: You’ll own the payroll for France (via Payfit), Italy, Austria and act as our ambassador with team.blue entities in Europe. You ensure everyone is paid accurately and on time, every time.

• Social Dialogue & Labor Law: Serve as our internal expert on French labor law (Syntec) and coordinate social relations across Europe.

• Admin Lifecycle: Manage the "behind the scenes" of contracts, amendments, and freelancer agreements, making sure Onboarding paperwork is as seamless as the welcome coffee. Ensure Offboarding is as respectful and professional as joining.

• Internal Audit: You’ll help us polish our historical data and contracts, ensuring everything is "Kolsquare-level" excellence.

3. Compensation & Benefits Strategy (Total Rewards)

• Comp & Ben Framework: Support the VP People in designing and implementing a competitive and equitable salary grid.

• Incentive Management: Oversee the administration of bonuses, commissions, and global benefit programs, ensuring our reward strategy attracts and retains world-class talent.

• Harmonization: Lead the alignment of benefits across acquired entities and prepare the company for future EU Pay Transparency compliance.

4. Performance Management & Data Insights

• Performance Cycle: Manage the technical implementation of performance cycles via HiBob. Ensure data is clean and ready to support career growth decisions.

• HiBob Champion: Maintain our HRIS as the "Single Source of Truth," creating dashboards that help leadership make informed, people-first decisions.

5. Process Design & Scalability

• The People Playbook: Document the "People Ops Way" in Notion, creating clear guides that empower the team to deliver a consistent journey locally.

• Freelance Management: Implement a rigorous administrative process for freelancers, ensuring legal compliance and smooth financial coordination.

• Scalability: You’ll look for ways to automate the boring stuff so we can spend more time on the human stuff.

YOUR PROFILE

Must-haves 🫵

• Experience with Purpose: 5+ years in People Ops or Payroll, with at least some experience or strong aptitude for people management/mentoring.

• Operational Rigor: You value precision as a form of respect for the team. You catch the tiny typos and the calculation errors others miss.

• Syntec & Multi-country Savvy: Solid knowledge of French labor law, with the curiosity and ability to oversee compliance in other jurisdictions (specially Austria, Italy).

• Growth Mindset: You love learning and aren't afraid to roll up your sleeves to fix a process or help a teammate.

• Languages: Professional fluency in English and French is mandatory.

Nice-to-haves ✌️

• Previous experience in an M&A/Acquisition context (integrating new teams/entities).

• Advanced experience with HiBob and Payfit.

• Knowledge of other European labor laws such as Austria, Italy, Spain.

• Professional German fluency.
